Right now, the meetings, events, conference and business summit industry, what we call MICE industry looks for new and more advanced ways to bring all attendees back to big conferences. For this, there is much talk about contactless processes from the parking lot to their seats in the convention centers or in the exhibition venues.

Creative Contactless Solutions

While the timeline of a COVID-19 vaccine has already known, but still there is a chance to get infected. There is a strong desire for all the delegates to meet once states allow for mass gatherings. Even moving events or conferences will most likely still require following the guidelines set down by the CDC and World Health Organisation (WHO).

Advanced Registration

The delegates and meeting staff can avoid the use of paper, setting up self-check-in kiosks, exchanging money/credit cards or registering walk-in attendees by establishing this process. When the registration occurs, it is reminding all the attendees that there will be no materials given out, including name badges. Send them their policy on mask-wearing, social distancing, and anything else COVID-19 related.

Hybrid Sessions

Even when the “all clear” is granted for big events, there will be a subset of your members who will wish to participate remotely. With a hybrid approach in the MICE sector, there will ensure greater meeting participation.

Contactless check-in

The event planners can create or use an app that asks a series of COVID-19 screen questions that they must answer before checking in. Once completed, provide a QR Code to scan at a kiosk that will confirm they are registered.

Hand Sanitizing and Temperature Screenings

The temperature screening monitors can be rented to notice a fever without touching the participant using heat map technology. Now, the UV-C sanitizing charging lockers, touchless hand sanitizers and UV-sanitizing shells are also available for rental. The attendees can baton their smartphones and other personal items over some of these stations during the course of your event to kill COVID-19 molecules that might be on the surface.

Application Sensors

Global event organisers like Reed Exhibition or Informa Market can control the following through smartphone applications: lighting, room temperature and the number of attendees in each room.

Touchless Presentations

Everything from turning on and off the LCD projector to the advancement of slides to adjustments of the large monitor will be controlled through your smartphone.

Facial recognition

Now, in these meetings and conferences technology, facial recognition technologies are hotly debated in many areas. The meeting space facial recognition could take the form of granting access to rooms, conference venues and automatically setting user room preferences upon room entry, or launching video conferences when the meeting host walks in the door.

Occupancy Sensors

Right now, occupancy technology is one of the prime arenas in meetings technology. The occupancy technology will allow the events planners to monitor and manage room density. This and other analytics from occupancy technologies will aid managers as they seek to understand the return to the workplace and how they can best optimise the current meeting or event spaces and plan for future needs.

Now the laptops and tablet rentals delivered to hotel rooms in a sterilized container: it is rather than handing out these rentals at the check-in area, and each device will be placed in the attendee’s room. For one-day event or short event, now the delegates can pick up their devices in a specified conference room.
