To register, an eligible organisation must designate one authorised employee as its primary corporate travel manager. That employee links their Aeroplan loyalty programme number to the business account and completes the enrolment form.

Once Air Canada approves the application, the organisation receives a programme account number. The primary travel manager can then establish teams, assign roles and permissions, and control which employees or colleagues can access travel information and booking functions.

The structure allows organisations to distribute travel responsibilities rather than relying on one person to arrange every trip. Businesses can set up access according to their internal requirements, while maintaining a central view of employee travel.

Eligibility is restricted to registered Canadian businesses and nonprofit organisations that do not already have an existing corporate agreement with Air Canada. The airline must approve participation, so completing the registration process does not automatically guarantee membership.

Embarq provides travel managers with an interactive map showing current and upcoming trips, according to Air Canada for Business. The portal also allows users to download booking lists, helping organisations review travel activity and monitor spending.

To receive the applicable benefits, employees must use their Aeroplan loyalty account and select business travel when making a booking. This helps ensure qualifying trips are tracked through the company’s Embarq portal and that eligible programme benefits are applied.

Company travel arrangers can also make bookings on behalf of employees, allowing businesses to retain some central coordination while giving authorised staff access to the programme.

Not every booking will necessarily qualify for the same discounts or rewards. Eligibility conditions apply, and travellers should check the terms associated with their chosen itinerary before booking.

Employees must work for a participating organisation, travel for a business purpose, be registered and approved for the programme by Air Canada, and hold an Aeroplan membership in good standing. Personal trips do not meet the stated business-purpose requirement.

The enrolled businesses will also be provided with a dedicated Air Canada for Business assistance team.
